Class Reservation Policies

Please help us to provide the best experience for you and all of our students and staff.

Classes have a set number of spots.

We need everyone’s help to make sure each student can get into the classes they want to attend. If you are unable to attend a class you have reserved, please cancel your reservation in Momence as soon as you know so someone who might be waiting for a spot to open up can attend.

We created this policy to do our best to make sure there are spots in classes for students who are able to attend. It also helps our instructors finalize their lesson plans for class that day. When we know who is coming to class, we can provide the best practice environment for all students of all different levels. This is particularly important for multi-level classes.

ONLINE CLASSES FOLLOW THE SAME POLICIES AS IN STUDIO CLASSES UNLESS OTHERWISE NOTED.
(Private Lessons, Party Bookings, and other non-public events will have their policies in the booking contract sent to the client when a private service is booked.)

STOPPING BY AS A WALK-IN

To provide the best student experience, we DO NOT allow walk-ins to our classes. All students planning on attending a class must be listed on our roster prior to the class start time. Members can add themselves to classes at any time via Momence. If the class you would like to attending is happening is less than 1 hour, please contact the studio by texting 440.941.7653.

LATE CANCELATIONS

You can manage and make changes to your class reservations by logging into your Momence account. Momence even allows you to make changes right up to the minutes before class. However, anything less than 2 hours before class is automatically marked as LATE in Momence, and there are automatic penalties for late cancelations.

The late cancelation penalties are as follows:
Single Classes: the amount paid for that class is forfeited and cannot be used toward another class.
Class Packages: the credit used to reserve that class spot is forfeited and cannot be used toward another class.
Unlimited Memberships: $5 will automatically be charged to your card on file
If you have an emergency within the 2 hours prior to class time, text us at (440) 941-7653 about canceling your reservations so that you are not penalized.

Note about Holidays: On Holidays the late cancelation time is 6 hours prior to the class start time. This is to allow our instructors to plan their holiday if it ends up that no one will be coming to class.
The Holiday Policy is for classes on: Valentine’s Day, St. Patrick’s Day, Easter, Mother’s Day, Father’s Day, Memorial Day weekend, 4th of July weekend (if the 4th falls on a Fri-Sun), Labor Day weekend, Halloween (including the weekends before AND after Halloween), and Friday-Sunday after Thanksgiving.
Holidays we are closed with no classes: New Years Day, Memorial Day, 4th of July, Labor Day, Thanksgiving (Wed & Thurs), Dec 24-26th, New Years Eve.
Other Holidays not mentioned we are open and running classes with the standard 2 hour cancelation policy.

NO CALL, NO SHOWS

If you do not attend a class you have reserved for any reason, and you have not either canceled the reservation via Momence, nor texted us that you will not be attending, that is considered a “no call, no show.” If you have an emergency to where you cannot contact us prior to the class, then make sure to get in touch afterwards as soon as possible. We understand emergencies happen from time to time.

The No Call, No Show penalties are as follows:
Single Classes: the amount paid for that class is forfeited and cannot be used toward another class.
Class Packages: the credit used to reserve that class spot is forfeited and cannot be used toward another class.
Unlimited Memberships: $10 will automatically be charged to your card on file. If the charge does not go through, you will need to pay the balance before you can attend a future class.

SPECIFICS REGARDING SERIES CLASSES

Series classes are basically like signing up for a course. When you sign up for a series, all the classes that comprise that series are grouped together as one item. If you know ahead of time when you sign up for a series, that you will need to miss a week or two, we can arrange for that on a case-by-case basis. All series students must attend weeks 1 or 2 to get started with a series, preferably both.

To reiterate, the individual classes of a series cannot be separated. There are not any in studio opportunities to make-up a missed series class. Some series do have an online element, so you might be able to make-up the class material by video recordings to be ready for the next class. The availability of recordings is not guaranteed and may be different depending on the series.

The cancelation specifics for Series, as well as their late cancel and no call no show penalties are as follows:
Full Series payments: When a student needs to cancel a series class attendance (both on time or late cancelation) or is a no call, no show, the part of the series payment that went toward that single class cannot be taken out and used toward something else. Series classes are grouped as 1 item.
Class Package: If we booked you into a series using a Class Credit Package, that credit will be forfeited for both on time and late cancelations as well as no call, no shows.
Unlimited members will also be charged automatically by Momence if they remove themselves within the 2 hours prior to class as listed in the 2 sections above. Unlimited members are asked to make a commitment to the series just the same as anyone else. An Unlimited membership does not allow you to take parts of series a la carte. Additionally, if an unlimited member ends up canceling a high number of classes out of a series they can not use the unlimited to sign up for a future series. The member will be required to pay in full for the series. The amount paid for the series can be refunded after the last class ONLY IF that student attends all the classes as promised. Full unlimited privileges will then be returned.

Again Series classes are a set package that requires a commitment to all classes in the series. The instructor will be paid out for your spot in each class of a series even if you were not there. It is HIGHLY recommended that you text (440) 941-7653 if an emergency arises and you cannot attend a class within a series. We can then work out if you can get a video (which again might not be available), make sure you plan on attending the rest of the series, and help unlimited members potentially avoid the automatic charges.

SPECIFICS REGARDING ONLINE CLASSES

In order to control class sizes and manage reservations the same policies as above apply to online classes. If there are no students attending an online class live at the time it is recording, then the online class will often be canceled and there may not be a recording. Even though students can add themselves to classes in Momence right up until class time, we do not recommend you add yourself to any ONLINE class openings in the last hour. Quite often if no one else is signed up we won’t even turn on the computer, and may not know anyone has added themselves. Text the studio line if you would like to jump onto an online class happening in the next hour.

You have the option to use your class reservation to claim the recording of the online class if you cannot make it for the reserved time. This is ONLY available to students who follow the registration policy.
You must have made a reservation for the class in the first place.
You must text the studio line at 440-941-7653 to let us know you will not attend live, and will attend by recording.

If you need to cancel an Online class reservation you have 2 options

1.  Cancel your reservation entirely. You will get any credits back to use for a future class reservation as long as the cancelation happens in Momence more than 2 hours before class time. If you cancel with less than 2 hours or no call no show, the above sections discussing those to scenarios also apply to online classes.

2.  Contact us by texting (440) 941-7653 to let us know you want to use your membership or a class credit from your package to claim a video replay of the class as a make-up option.
You are still going to be reserved for the class with your class payment, or applicable membership/package so that the instructor can be paid properly for your attendance. Once the video is available on our website it can be rented for a fee from our website. Do not purchase the rental for the full price. Wait to be texted a “Promo Code” for that video. You can then claim it for free, and it will be added to the “My videos” section when you are logged into Momence.

At this time, Video recordings will only be processed and uploaded for classes where students have contacted us that they cannot attend and have indicated they will use their payment, package, or membership toward the video recording. If there is no one opting to make-up the class by video recording, the video will not be processed and uploaded to our site.

TERMINATION

We reserve the right to terminate any credits, pass, series, or membership you may have, as well as claim any payments you have made, if you continually no call/no show or have habitual last minute cancelations.

CHANGES TO THE CLASS RESERVATION POLICY

CEDance, LLC (DBA Cleveland Eclectic Dance). has the right to change this policy without notice. Future changes will supersede all previous versions of this policy. You are encouraged to periodically check for any changes on the Cleveland Eclectic Dance website at https://clevelandeclecticdance.com/studio-policies/.

REFUND POLICY

If you are unable to attend a class, and you have contacted us prior to the class, per the policy above, to open up your spot, we will happily move your Drop-in purchase, or class credit to a future class. For drop-in credits, and unused package and series credits, we can sometimes apply the dollar amount toward a different class or package on a case by case basis. We do not issue refunds.
